SONOGRAPHERS MEDICAL Specialist Recruitment require Administrative Compliance Officer for their Ilford/Gants Hill Office.

The list below details the actions and activities we expect of any Compliance Office to ensure their optimum performance and that of the Staff Team.

It is not an exhaustive list, but should highlight key activities by which your own performance can be assessed.

        In collaboration with colleagues, provide a professional end-to-end Compliance service, including:

  • Actively contacting current and potential Locums to ensure we maintain comprehensive and complete compliance records so that we can meet their ongoing and changing needs and provide suitable work opportunities
  • Liaise with Recruitment and Accounts as necessary to prevent difficulties and solve issues as they arise
  • Accurate completion of all relevant documentation related to new and ongoing locums
  • Ongoing communication with Client and Locum during and following the placement period
  • Assist in the processing of any timesheets or other documentation requirements in relation to placements
  • Responding to locum & Compliance queries and emails on the same day as they are received
  • In conjunction with all Recruitment; communicate with current and potential locum staff regularly, and ensure that EVERY potential locum currently going through the Compliance process is contacted at least once per week.
  • In discussion with Managers, set self-target for Completion of compliance activity and be pro-active to reach and improve on target.
  • Ensure all compliance-related activities are clearly documented on Eclipse.
  • Take note of DAILY list of which Staff are working on which Locum/Client to highlight if Compliance activity is required and ensure either the Recruiter or Compliance tackle the task.
  • Assist in the development of a healthy office environment for the benefit of all staff
  • Identify own training requirements and highlight these to Managers
  • Develop good timekeeping, including attention to Start and Finish times, and breaks. (30-minute lunch should include any travelling and time it takes to actually eat the lunch).
  • In conjunction with Managers, acknowledge lateness or other lost time and either make-it-up during the week or report it to be taken as unpaid leave.
  • Provide appropriate hand-over for known leave
  • Manage end-of-day procedures and leave a daily schedule of matters that might arise or need attention the following day, with details of anticipated response. (This will act as a reminder for the following day and allow other staff to step-in in case of unexpected absence).
  • Communicate professionally with all members of Staff to foster a good team environment, with rapid response to all queries and same-day replies to all emails received.

    • Act appropriately to seamlessly implement the directions and recommendations of Managers and Directors.
    • Identify where improvements can be made to current activities, policies & procedures and present these ideas to Managers for consideration
    • Consider whether current activities are detailed in a current written procedure. If so, highlight anywhere the procedure needs amending to suit current requirements. If not, liaise with the Manager to have a full Procedure written-up, so that other staff are able to perform the task during absence

 In addition to the above list, we are aware there will be other tasks you may be performing that may or may not be appropriate to your role.  We require you to document these tasks and notify Managers, so that we can assess whether they should be added to the above list or provided by an alternative member of staff. You may be requested to perform additional other administrative duties not mentioned above.
