Office Manager / Recruitment.
Sonographers Medical Specialist Recruitment require Office Manager for their Ilford Office.

The list below details the actions and activities we expect of an Office Manager / Recruiter to ensure optimum performance of themselves and their team.

 It is not an exhaustive list, but should highlight key activities by which your own performance can be assessed.

Ensure the entire office environment is consistently operating at optimum productivity, through a combination of Instruction, Delegation, Demonstration, Oversight and Review.

  • Allocate work to staff as appropriate and ensure completion of such work in an acceptable timeframe.
  • Help staff to stay on-task through a combination of persistent assessment of activity, leading by example and confronting non work-related actions when identified.
  • Act as a conduit for raising staff issues and suggestions to Directors, and for implementing the Instructions of the Directors
  • Take an active part in recruitment activities of your own:
  • Actively contacting current and prospective Clients to promote our Service
  • Actively contacting current and potential locums to ensure we meet their needs
  • Liaise with Compliance and Accounts as necessary to prevent difficulties and solve issues
  • Accurate completion of all relevant documentation related to the placement
  • Ongoing communication with Client and Locum during the placement period
  • Processing of any timesheets or other accountancy requirements in relation to the placement
  • Responding to locum & Recruitment queries and emails on the same day as they are received
  • Manage the Recruitment and Compliance activities of all Staff
  • Communicate professionally with all members of Staff to foster a good team environment
  • Communicate with current and potential locum staff on a daily basis, delegating such duties between Recruitment and Compliance.
  • Ensure all recruitment-related activities are clearly documented on Eclipse, both for own activities and those of staff.
  • In discussion with Directors, set self-target for number of placement to be made each week/month and be pro-active to reach and improve on target
  • In discussion with individual Recruiters, agree individual target for number of placement to be made each week/month and pro-actively manage performance towards these targets
  • Maintain DAILY list of which staff are working on which Locum/Client and ensure these are being actively followed-up by the responsible person.
  • Ensure appropriate communication between Recruitment / Compliance / Accounts / Directors to minimise friction and develop team approach, with rapid response to all queries and same-day replies to all emails received.
  • Encourage a healthy office environment for the benefit of all staff.
  • Take an active part in staff discipline and training.
  • Attend any disciplinary meetings and present a report of the individual’s misdemeanour and any recommendations for action
  • Identify staff training requirements.
  • Manage timing and duration of staff breaks (including smoke breaks, lunch breaks etc) and restricting mass absence during the working day.
  • Manage staff lateness by identifying and recording late attendance, discussing issues with staff member concerned and ensuring lost time is ‘made-up’ during the same week, or report it to be taken as unpaid leave.
  • Manage Staff leave and related records.
  • Ensure all staff provide appropriate hand-over for known leave.
  • Manage end-of-day procedures so that every member of staff leaves a daily schedule of matters that might arise or need attention the following day, with details of anticipated response. (This will act as a reminder for the staff member and allow other staff to step-in in case of unexpected absence).
  • Be aware of, and acknowledge, good by staff and praise accordingly. In cases of Outstanding performance, ensure the matter is reported to the Directors.
  • Identify, & consider ideas from Staff, where improvements can be made to current activities, policies & procedures and present these ideas to Directors for consideration
  • Consider whether any activity being performed by yourself or staff is detailed in a current written procedure. If so, highlight anywhere the procedure needs amending to suit current requirements. If not, liaise with the Staff to have a full Procedure written-up, so that other staff are able to perform the task during absence
